4. A deposit of $[TBD]/person is due when you reserve. Final payment is due on or before [TBD, before March 21, 2027]. [REVIEW]

If you have questions along the way, reach out. I'm here to make this seamless.
Reservation Guidelines
Prices shown include taxes, fees and port expenses, and are per person based on two guests sharing a stateroom.
Staterooms for three or four guests are available on request. Email me for a custom quote.
Stateroom supply is limited. If your choice is sold out, I'll offer alternate options.
All staterooms are non-refundable once deposited [REVIEW: choose this or the Royal Caribbean penalty schedule; see Terms & Conditions].
You can pay by credit card or bank transfer, in full or with a deposit, with optional auto-pay. [REVIEW]
All travelers need proof of citizenship (a passport, U.S. birth certificate or U.S. naturalization certificate) and a valid, unexpired government-issued photo ID. A passport valid for at least six months after the cruise is strongly preferred.
Only guests reserved in our group (Group 8251977) can attend the private events. Staterooms reserved elsewhere cannot be added.

Optional Cruise Add-Ons
Gratuities & Travel Protection:
Pre-Paid Gratuities - $[TBD]/passenger [REVIEW: the Sebastian sailing was $55.50 for 3 nights on Wonder]
Prepaying gratuities covers the daily service charges for the crew, including dining staff, stateroom attendants and bar teams, before you sail, so they don't post to your SeaPass account each day.
You can add them when you reserve or up to 7 days before departure.
————————————
Travel Protection - $[TBD]/stateroom [REVIEW]
I strongly recommend travel protection. Royal Caribbean Travel Protection covers trip cancellation or interruption for covered reasons, emergency medical care and evacuation, baggage and travel delays. Because staterooms are non-refundable once deposited [REVIEW], it's the best way to protect your investment.
Cancel for Any Reason
Medical Expense Coverage

Travel Delay Coverage
Beverage packages, shore excursions and other onboard extras can be added in the Royal Caribbean app after your reservation is secured.

Terms & Conditions
These follow the structure of the Pins and Ports reservation page. They cover the 2027 Spartans at Sea group (Royal Caribbean Group 8251977, Wonder of the Seas, June 4 to 7, 2027). The cruise is operated by Royal Caribbean International and is also governed by Royal Caribbean's Cruise Ticket Contract.

• [TBD: event swag or merchandise]
• [TBD: gratuities, included or not] [REVIEW]
• Main dining with the group at 5:00 PM
What's not included
• Specialty dining
• Shore excursions
• Spa services
• Beverage packages and Wi-Fi [REVIEW]
• Travel insurance
• Airfare, hotels and transfers
Occupancy and pricing
All prices are per person, based on two guests sharing a stateroom. If you need a stateroom for three or four guests, email me at jr@travelmation.net and I'll send a custom quote and invoice. Each category has a limited number of staterooms, and I'll mark a category sold out once it's gone.
Deposits and reservation deadline
Each stateroom category has its own per-person deposit, shown in the pricing table: [TBD: deposit per category] [REVIEW]. Your stateroom is reserved once your deposit is received and every guest's information is complete. Group pricing is available until [TBD: must fall before March 6, 2027, when Royal Caribbean releases unnamed group space] [REVIEW].
Payment schedule
• Deposit: due when you reserve.
• Final payment: due [TBD: before March 21, 2027, the group's final payment date with Royal Caribbean] [REVIEW].
• You can choose to pay the full amount up front instead.
• Optional auto-pay: if you turn it on, your remaining balance is charged automatically on the due date.
Payment methods
You can pay by credit card or by bank transfer. A convenience fee applies to credit card payments, and paying by bank transfer avoids it. [REVIEW: confirm the fee amount and whether to offer bank transfer]
Cancellation policy
[REVIEW: J.R. must choose one]
• Option A, matching Pins and Ports: all staterooms are non-refundable once your deposit is paid.
• Option B, following Royal Caribbean's group penalties: cancellations must be sent to me in writing. Penalties per guest are 50% of the fare from March 22, 2027, 75% from April 5, 2027 and 100% from May 5, 2027. Event fees are non-refundable [REVIEW].
Whichever option you pick, I strongly recommend travel insurance.
Payment authorization
When you pay, you authorize me, as your travel advisor, to charge the card or bank account you provide for the amount shown on your invoice, on the date it's due. The payment covers the travel services described on your invoice. Refunds, changes and cancellations are handled under the policy above and at my discretion where the policy allows. You also confirm that you're authorized to use the payment method, and you agree not to dispute a charge that matches your invoice. [REVIEW: legal entity name for the authorization, written without the agency brand per J.R.'s rules]
Group events and itinerary
Onboard events are arranged with Royal Caribbean, and their time, venue or format may change. The cruise line may also change ports or times for weather, safety or operational reasons. To take part in Spartans at Sea events, you must be reserved inside our group. [REVIEW]
Guest Advisories
Everything you need to know before you reserve and before you sail.
What I need from each guest when you reserve
• Full legal name, exactly as it appears on your passport (prefix, first, middle, last, suffix), plus the name you like to go by
• Date of birth and gender, as required by the cruise line
• Email, phone number and mailing address
• T-shirt size for event swag [TBD: only if there is swag]
• Your Royal Caribbean Crown & Anchor number, if you have one
• If you already work with another travel advisor, their name. Your stateroom still needs to be reserved in our group to join the events. [REVIEW]
Travel documents
I strongly recommend a passport valid for at least six months after the cruise. Non-U.S. citizens should check visa requirements. Every guest is responsible for their own documents. [REVIEW: confirm Royal Caribbean's current closed-loop document rules]
Who can sail
Royal Caribbean doesn't accept groups where half or more of the guests are under 21. Guests under 21 must share a stateroom with someone 21 or older. [REVIEW]
Arriving in Miami
The ship departs Miami at 4:30 PM on Friday, June 4, 2027. If you're flying in, I recommend arriving the day before. I'll share port parking details before we sail. [TBD]
On board
Please stop by the welcome and check-in room after you board, and arrive at staggered times so it doesn't get crowded. Our group dines together at 5:00 PM each evening. Bring formal attire for the gala.
Silent auction
Bids are placed on board, but no money or goods change hands on the ship. All payments are settled after we return home, with [TBD: the Pace alumni organization].
Health, accessibility and weather
Let me know about any mobility, medical or dietary needs when you reserve, so I can pass them to the cruise line. June is part of the Atlantic hurricane season, and the cruise line may adjust the itinerary.
Travel insurance
I strongly recommend coverage for cancellation, medical care and evacuation.
Traveler Information
Please complete the information for your stateroom. Once you submit it, I'll contact you shortly with next steps to reserve your stateroom.
If you'd like a larger suite or a stateroom that isn't listed, contact me and I'll send details for your specific needs.
